Privacy Policy

Special Sips, LLC (“Special Sips”, “we”) respects your privacy. This policy explains what we collect through this website, our inquiry and booking forms, the client portal, and our related communications; how we use and disclose it; and the choices you have.

1. Information we collect

  • Contact and identity information: name, email address, telephone number, account details, and the name of an authorized event contact.
  • Inquiry, event, and transaction information: event date and location, venue, guest count, menu and drink preferences, proposal and agreement records, payment status and provider references, messages, feedback, and files you choose to upload.
  • Technical and security information: browser and device information, page and interaction data, session records, and IP address where needed for security, rate limiting, and audit logs.
  • First-party analytics: a random visitor identifier and limited page, source, campaign, and interaction information. Analytics metadata is restricted and does not include names, email addresses, telephone numbers, uploaded files, or private event messages.

We collect information directly from you, from an authorized event contact, and automatically when you use the site.

2. How we use information

  • Respond to inquiries, check availability, prepare proposals, form and administer agreements, and deliver services.
  • Operate the client portal, authenticate users, preserve event records, process or record payments, and provide support.
  • Send transactional communications such as confirmations, receipts, planning updates, and service notices.
  • Protect the site and its users, prevent fraud and abuse, keep audit records, and comply with legal obligations.
  • Measure and improve the website, booking flow, and services using limited first-party analytics.

3. Email and text messages

Transactional email is used to respond to requests and administer an event. Marketing email is sent only when permitted, includes an opt-out method, and can be stopped at any time. We send automated or marketing text messages only after separate consent; consent is not a condition of purchase. Reply STOP to stop and HELP for help. Message frequency varies, and message and data rates may apply.

4. How we disclose information

We disclose information only as reasonably necessary to:

  • Cloud hosting, database, private-file storage, email delivery, payment, and other vendors working for us under service-provider arrangements.
  • Venues, planners, rental providers, or other event partners when you ask us to coordinate with them or it is necessary to deliver the booked service.
  • Government, regulatory, legal, insurance, or security recipients when required by law or reasonably necessary to protect rights, safety, and the integrity of our services.
  • A successor in a merger, financing, reorganization, or sale of the business, subject to appropriate handling of the information.

We do not sell personal information or share it for cross-context behavioral advertising. We do not publish identifiable client or guest information or photos for advertising without the permission required for that use.

5. Payments

When online payment is available, payment-card entry occurs on secure Stripe-hosted pages. Stripe is certified as a PCI Service Provider Level 1. Special Sips does not receive or store complete payment-card numbers or card security codes. We retain payment status, amount in USD, dates, and processor references needed for receipts, accounting, support, and dispute handling. Stripe processes card data under its own terms and privacy policy.

6. Cookies and similar technology

We use first-party cookies or local browser storage to keep users signed in, preserve quote progress, provide authorized preview access, protect forms, and measure basic site activity. The anonymous analytics cookie can remain for up to one year; sign-in and preview cookies generally expire after 14 days. We do not currently use third-party advertising cookies. If optional advertising trackers are added, the site will request consent as required before activating them.

7. Retention

Anonymous quote drafts expire after 14 days of inactivity and are removed after submission. Other information is kept only as long as reasonably needed for the purposes described above, including delivering services, maintaining business, tax, insurance, and agreement records, resolving disputes, and meeting legal obligations. We then delete, deidentify, or securely dispose of it when practical.

8. Security and data incidents

We use administrative, technical, and access-control measures appropriate to the information we maintain. No online system is completely secure. If a qualifying security incident occurs, we will investigate and give notices required by applicable law.

9. Your choices and requests

You may ask to access, correct, or delete personal information associated with you. You may also withdraw marketing consent or request information about our privacy practices. Submit a request through our Contact page or email swfl@specialsips.com. We may verify your identity and retain information when needed for an active agreement, legal obligation, security, accounting, or dispute. Where applicable law grants additional rights, we will honor them and will not discriminate against you for exercising them.

10. Children

This website and our booking services are intended for adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through the site.

11. Changes to this policy

We may update this policy when our practices, vendors, or legal obligations change. The date at the top shows the latest revision. Material changes will be presented through the site or an appropriate direct notice.
