How to plan a wedding bar in Southwest Florida

Planning the bar is one of the last things couples think about and one of the first things guests notice. Here is how to get it right in Southwest Florida.

Start with your venue's rules

Every venue is different. Some have a liquor license and require you to use their bar. Others allow outside bartenders but require a certificate of insurance. Private homes and community clubhouses usually give you the most freedom. Ask your venue three questions early: Can we bring our own alcohol? Do vendors need insurance paperwork? Where can a bar physically go?

Do the guest math

A common planning baseline is roughly one drink per guest per hour, heavier in the first two hours. A 100-guest, 5-hour reception usually plans for far more ice and glassware than people expect, especially outdoors in Florida heat. Your bartender should give you a shopping plan with exact quantities, not a guess.

Respect the heat

October through April is prime season for a reason. If your ceremony is outdoors in the warmer months, plan a water or hydration station before cocktail hour, shade for the bar if possible, and more ice than a northern checklist would suggest. Frozen and crushed-ice drinks melt fast in August.

Time the bar to the day

A typical flow: water station at the ceremony, a signature welcome drink or full bar at cocktail hour, wine service or open bar through dinner, and last call about 30 minutes before the send-off. Build the champagne toast into the timeline so it is poured and in hands before the speeches start.

Make it yours

Two signature drinks, one for each of you or one cocktail and one mocktail, give the bar personality without slowing the line. Named drinks, a menu sign that matches your stationery, and garnishes in your colors go a long way in photos.
